Signing Requirements

To ensure a legally binding notarization, please prepare these essential items prior to our arrival or your scheduled office visit.

Valid Identification

Every signer must present a physical, government-issued photo ID. Acceptable forms include a state driver's license, U.S. passport, or military identification card. The ID must be current or have been issued within the past 5 years (even if the expiration date has recently passed).

Credible Witnesses

No Valid ID? If the signer lacks a qualifying ID, you may use two witnesses who:

  • Personally know the signer and are present at the signing.

  • Have no financial interest or mention in the document.

  • Bring their own valid, physical government photo IDs.

  • Will take a legal oath and sign the notary journal.

Important: Notarization will be denied if Valid ID or Credible Witness requirements are not met.

Remote Online Notary (RON)

Did you know? Although California has officially legalized Remote Online Notarization (SB 696), the state is currently building out the secure technology infrastructure required to launch it, with full implementation expected by January 1, 2030.

What is RON?

Remote Online Notarization (RON) is a digital process that allows a person to get their documents legally notarized over the internet. Instead of traveling to meet a notary face-to-face, the entire transaction happens securely via a live, two-way audio-video call. Instead of paper logs and physical ink, RON uses:

  • Identity Proofing & Credential Analysis: Advanced multi-factor security technology that instantly verifies the signer’s ID card/passport and uses identity-verifying questions to ensure they are who they say they are.

  • Electronic Signatures & Seals: Both the signer and the notary sign the document digitally. The notary applies a tamper-evident electronic seal.

  • Digital Recording: The entire video session is recorded and securely archived alongside an electronic journal to prevent fraud.

  • Ultimate Convenience: Get your documents notarized in just minutes without ever needing to travel or meet a notary in person.

NOTE: California notaries cannot currently offer online RON services until the state fully institutes its new procedures and platforms, expected after January 1, 2030.

  • Hospital, Care Facility and Correctional Facility Signings: Because these require extended parking and access requirements, strict security checks, and patient or inmate coordination, facility visits typically command a minimum flat fee of $125.

  • Certifying copies of a Power of Attorney: Capped at $15 per certified copy (under Probate Code Section 4307).

  • Certified Document Translation: $75 | Professional translator, signed and stamped Certificate of Accuracy, and digital delivery (PDF).

    Best For: Birth certificates, marriage certificates, diplomas, academic transcripts, and USCIS applications.

    Standard Turnaround: 1–2 business days (up to 2 pages).

  • Notary and Document Translation: $125 | Everything in the Certified Translation package, plus a signature notarized by a licensed Notary Public to verify the translator's identity.

    Best For: DMV documents, court submissions, international adoptions, and official government registries.

    Standard Turnaround: 2–3 business days.

  • Sworn Translation: $125 | Translation performed by a court-appointed, certified "sworn translator" who affixes their official seal and signature directly to the document.

    Best For: Submissions to foreign embassies, consulates, and European/Latin American government institutions.

    Standard Turnaround: 3–5 business days (depending on country requirements).

  • Notary Journal Line-Item Copies: If a member of the public requests a copy of a specific transaction line item from a notary's sequential journal, the state-allowed charge is $0.30 per line item.

  • Document Printing, Copying, or Scanning Fees: A per-page administrative fee for printing dual sets of documents (i.e., real estate/loan signings) or securely scanning signed records back to an escrow or legal office. $35 per bundle or $0.25 cents per page.

  • After-Hours or Holiday Surcharges: Premium convenience fees for appointments scheduled late at night, early in the morning, or during major holidays starting at $40 per visit. After hours: Prior to 7am or after 7pm every day.

  • Excessive Wait Time Fees: $15 per 15-minute block if a client is late or if the notary is forced to wait past a designated grace period.

  • Cancellation or "No-Show" Fees: A fee charged if the notary drives to a location and the client cancels on-site, lacks proper valid identification, or refuses to sign. This is equal to the agreed-upon travel fee.
