How to Prepare for a Meeting With a Mobile Notary: A Simple Checklist

Whether you are signing estate planning documents, real estate agreements, or official affidavits, having a notary visit your home or office makes the notarization process smooth and convenient.

To help your meeting go as seamlessly and quickly as possible, here is a quick preparation checklist to review before your notary arrives.

1. Have Valid IDs Ready

Every signer must present an unexpired, government-issued photo ID at the time of the appointment.

Acceptable forms of identification include:

  • State Driver’s License or Identification Card

  • U.S. Passport or Passport Card

  • Foreign Passport (stamped by US CIS)

  • U.S. Military ID

⚠️ Important: The name on your identification must match (or reasonably reflect) the name printed on your documents. If your ID is expired or if a signer lacks valid identification, please let the notary know before the appointment so they can discuss alternative legal options, such as credible witnesses.

2. Review Documents Beforehand

  • Complete all blank spaces: Make sure all fields on your documents—except for the signature and notary certificate blocks—are filled out. A notary cannot notarize a document that contains blank lines or missing information.

  • Leave signatures blank: Please do not sign or date the signature lines prior to the appointment. Most notarizations require the notary to witness your live signature or receive an in-person acknowledgment.

3. Signers & Witnesses

  • Required Signers: Ensure all individuals who need to sign are present and have their valid photo IDs ready.

  • Disinterested Witnesses: If your estate documents require witnesses (individuals not named as beneficiaries or mentioned in the documents), make sure they are present, have valid photo IDs, and are prepared to sign.

4. Prepare Your Workspace

To ensure the notary can carefully review, stamp, and organize your legal paperwork without distraction or delay, please prepare a comfortable signing area:

  • Clear a flat surface: A dining table, desk, or kitchen counter with bright lighting and good seating works best.

  • Secure pets in another room: Estate and legal paperwork requires full concentration, fresh ink, and meticulous handling. To avoid distractions, accidental chair bumps, or misplaced pages while signing, please secure all household pets in a separate room prior to the meeting.

5. Know Your Legal Limitations

  • No Legal Advice: As a California Notary Public, I am legally prohibited from giving legal advice, interpreting document terms, or advising you on what to sign.

  • Attorney Support: If you or family members have specific legal questions regarding your documents, please arrange to have your attorney or document preparer available by phone during our scheduled appointment time.

6. Fee Structure and Payment

  • Standard Fees: Mobile notary fees include the California state-regulated $15 fee per notarized signature plus a mobile travel fee, which will be confirmed prior to your meeting.

  • Multiple Signers: Fees apply per individual signature notarized. For example, two signers on one document page equal two notarial acts ($30 total for that page).

  • Additional Services: Any travel, rush, or after-hours service fees are agreed upon in advance, with final payment collected at the conclusion of the appointment.
